Catalog Tools is available to every user role except sales reps. If you don't see it in your menu, contact your administrator.
Log into your account
From the menu, choose Catalog Tools
At the top, click the Item Grouping tab
At the top right, click New Grouping +
Enter a Group Name
This is what your contractors will search for and see on their quote, so use the name they know the product by — for example GAF Timberline HDZ, not an internal code
Choose a Category
Under Upload Image, click Upload and add a product photo
Accepted formats are JPG and PNG, and images cannot be larger than 2MB
Click Assign Items
Open the Products dropdown and select every SKU that belongs in the group
Use Filter selected products to check your list and click the red x beside anything that doesn't belong
Click Save Group
Your group is now live. Contractors will see it as a single product the next time they search the catalog.
Add every item, from every branch
Item groups belong to a price book and span every branch on it. Add every SKU in the product line regardless of which branch stocks it — don't build separate groups per branch, and don't leave items out because one branch doesn't carry them.
Each contractor is shown only the items they have branch access to, based on the branch selected on their quote. The filtering happens for you.
Add images to the items inside the group, too
The group image is what contractors see in search results and on the quote line. The item images are what they see when they open the dropdown to pick a color - and that is the moment the choice actually gets made.
If an item inside the group has no image of its own, it shows a grey placeholder in that list, and your contractor is picking a color from a name alone.
Before you publish a group, open it on a test quote and check that every color shows a swatch.
Edit, disable, or archive a group
Click the three-dot menu at the end of any row:
Edit Item Group — change the name, category, or image
Manage Associations — add or remove the SKUs inside the group
Archive — retire the group and move it to the Archived tab
Use the Status toggle to disable a group while you're still working on it. A disabled group disappears from the item search on quotes but stays in your main list, so you can keep adding items or swapping images until it's ready. Switch it back on to make it available again.
Archive a group when you're finished with it for good. An archived group is hidden from the item search on quotes and from the main group list, and moves to the Archived tab.
The short version: disabled means not ready yet, archived means no longer in use.
Check for open quotes first
Archiving a group affects quotes that already have it on them. On any open quote, the line turns red and reads no longer available, and the contractor has to remove it before they can continue. This happens whether you archive.
Treat archiving as disruptive to work in progress, and time them accordingly.
Disabling a group prevents the group from being searchable from the quote, the group will remain on quotes where previously added.
All other changes to groups will reflect in real time on quotes where the item group has been previously added, for example adding a new product or changing an image.
